How to Print an Excel Sheet on One Page

The print preview breaks the sheet into four pages, and the last one carries a single orphaned column. Scaling is not the first setting to change, because orientation and margins are usually what pushed those columns over the edge in the first place.

Switch to landscape and narrow margins

Go to Page Layout, Orientation, Landscape, then Page Layout, Margins, Narrow. A table that is wider than it is tall often fits after this alone, at full size, with nothing shrunk.

Choose a scaling option in the print settings

Press Ctrl + P (Cmd + P on Mac) and scroll to the bottom of the settings column. Change No Scaling to Fit Sheet on One Page to force everything onto one sheet. Fit All Columns on One Page is usually the better choice: it keeps the columns intact and lets long lists run onto page two and three at a readable size. On Mac, click Show Details in the Print dialog if the scaling options are hidden.

Set the width in Scale to Fit

For the same result without opening the print screen, use Page Layout, Scale to Fit, set Width to 1 page, and leave Height on Automatic. The percentage box grays out because Excel is now calculating it.

Set a print area

Select the cells that belong on paper, then Page Layout, Print Area, Set Print Area. A stray note in Z400 stretches the used range and forces the scaling down to nothing, and a print area is what excludes it.

Repeat the header row on every page

Open Page Layout, Print Titles, click in Rows to repeat at top, and select row 1 so the box reads $1:$1. Every page then prints with column labels instead of bare numbers.

Check the breaks before you print. Open View, Page Break Preview to see the page boundaries as blue lines. Drag a line to move a break, and drag the outer edge to include or drop a column.

Do not scale below about 60 percent. Text shrunk further is unreadable on paper. Hide or delete columns that nobody needs, or print the sheet as two logical halves instead.
