How to Save a Zoom Transcript When Local Recording Is Off

The Record button is grayed out and Zoom says the host has disabled local recording, so you assume there is no way to keep what was said. Local recording and captions are two separate host settings; if the host turned on closed captions or live transcript, the full text is sitting in a side panel you can open and save while the meeting is still running.
Turn on captions
Click Show Captions in the meeting toolbar. On a small window it is under More. If the button is missing or does nothing, the host has not enabled captions for this meeting, and only the host can turn them on.
Open the full transcript
Click the arrow next to Show Captions, then View full transcript. A panel opens on the right with everything captioned since the host enabled captions. Text from before that point does not exist anywhere, so this is where the transcript starts.
Save the transcript before you leave
Scroll to the bottom of the transcript panel and click Save Transcript. Zoom writes a .txt file into your Zoom folder, under Documents on Mac and Windows, and tells you the path. Do this before clicking Leave. The panel and its contents are gone the moment you leave, and nothing is stored on your account.
If there is no Save Transcript button, the host has not allowed participants to save. That is a separate permission from recording.
Ask the host to allow saving
The host can fix it mid-meeting. In the Zoom web portal under Settings, In Meeting (Advanced), the setting is Save Captions, described as allowing participants to save fully closed captions or transcripts. Once it is on, the button appears in your panel without restarting the meeting.
Ask for the cloud recording transcript
If the host recorded to the cloud, Zoom generates a transcript file alongside the video. The host can share the recording link with the transcript viewable, or download the .vtt file and send it. A cloud recording is possible even when local recording is disabled for participants.
Fall back to notes
If captions were never on and there is no cloud recording, the transcript cannot be recovered after the meeting. A note-taking assistant admitted to the meeting, or notes typed as it happens, are the only options left.
AI Companion summaries are host-controlled too. If the host turned on Meeting Summary, it is emailed to the host afterward, and to participants only if the host chose that. Ask the host to forward it.
Recording rules do not change what captions do. Saving the transcript is allowed whenever the panel shows the button, regardless of the recording setting.
