How to Flatten a PDF

Flattening merges form fields, annotations, stamps, and signatures into the page content itself. After that, nothing can be edited or accidentally dropped, and every PDF viewer shows the same thing. No special software is needed: printing to PDF does it.

Finish filling and signing first

Flattening locks everything in place. Complete every form field, add the signature, and save a copy of the original before continuing.

Flatten on a Mac with Preview

Open the PDF in Preview, click File, Export as PDF, choose a new name, and click Save. Preview writes the annotations and form entries into the page. If a field still looks editable in another app afterward, use File, Print, then the PDF menu at the bottom left, Save as PDF, which flattens more aggressively.

Flatten on Windows with a browser

Open the PDF in Microsoft Edge or Chrome by dragging it into a window. Press Ctrl + P, set the printer to Save as PDF (Chrome) or Microsoft Print to PDF (Edge or any app), and click Print or Save. The new file has the form entries and drawings baked in and no fillable fields.

Flatten with Adobe Acrobat Reader

Open the PDF, click File, Print, and choose Microsoft Print to PDF (Windows) or Adobe PDF if it is installed. Click Advanced, tick Print As Image, click OK, then Print, and pick a file name. Print As Image turns each page into a picture, the most thorough flatten there is, and removes anything a viewer might still treat as a separate layer. The text in that copy is no longer selectable or searchable, so use it only when a plain print-to-PDF did not do the job.

Check the result

Open the new file and click a former form field or signature. If nothing happens and the cursor does not change, it is flattened. Compare the page count with the original and look for anything missing; sticky-note comments with no visible text on the page do not print, so they disappear.

If the recipient still needs to fill it. Flattening removes fillable fields. Send the original when the other party has to type into the form, and the flattened copy only for a final, signed version.

If you need to undo it. There is no undo; flattening is one-way. Keep the original file.
