How to Edit Text in a PDF

You clicked into a paragraph in a PDF and nothing happened, or the cursor landed but refused to delete anything. The assumption behind that is that a PDF is a document like a Word file, when it is closer to a printout: a finished layout with each character pinned to a fixed spot on the page. What to do next depends on whether the file that produced it still exists.

Edit the original file and export a new PDF

Open the Word, Pages, or Google Docs file the PDF came from, make the change there, and export to PDF again. This is the only route that keeps fonts, spacing, and layout intact, so look for the source file before trying anything else.

Add a text box over the page in Preview

On Mac, open the PDF in Preview, click the markup icon, then the text box icon. Type the new wording and drag the box into place. To hide old text, draw a filled white rectangle over it first, then put the text box on top. Preview cannot retype an existing paragraph, and it cannot reflow one.

Fill and sign with Adobe Acrobat Reader

The free Reader handles form fields and signatures through Tools, Fill and Sign. It cannot edit body text. Editing existing text in Adobe's tools requires Acrobat Pro, which is a paid subscription.

Convert the file to Word and edit it there

For text-heavy documents with a plain layout, open the PDF in Word, let it convert, edit normally, then save back to PDF. Conversion rebuilds the page from scratch, so multi-column pages, forms, and heavy graphics come out misaligned.

Open it with Google Docs

Upload the PDF to Google Drive, right-click it, and choose Open with, Google Docs. Drive converts the file into editable text. Export again with File, Download, PDF Document. Layout fidelity is lower than Word's.

Small fixes. For a single wrong word or date, a white rectangle plus a text box in Preview takes under a minute and leaves the rest of the page untouched. Any conversion route risks breaking a layout that currently looks correct.

Keep the original. Save edits under a new filename. Converted PDFs are hard to compare against a file that has already been overwritten.
