How to Copy Text Out of a Scanned PDF

Dragging across the words in a scanned PDF selects nothing, or grabs the whole page as one solid block. That is because a scan is a photograph of a page: there are no letters in the file to select, only pixels arranged in the shape of letters. Text recognition has to run over the image first, and several free tools do it.

Try selecting the text in Preview first

On Mac, open the PDF in Preview and drag across a line. Recent versions of macOS apply Live Text to scanned pages automatically, so the words often highlight and copy with Command + C without any extra step. If they highlight, the job is done.

Touch and hold the text on iPhone

Open the PDF in Files or Books, then touch and hold a word until the selection handles appear and drag them across the passage. In Photos, tapping the Live Text icon in the lower right of an image selects everything recognized on it at once.

Run the file through Google Docs

Upload the PDF to Google Drive, right-click it, and choose Open with, Google Docs. Drive runs text recognition during the conversion and places the recognized text underneath a copy of the original image, ready to copy or edit. This uploads the document to a server, so for medical, legal, or financial scans stay with the on-device options above.

Use OneNote or OneDrive on Windows

Paste or insert the scan into a OneNote page, right-click the image, and choose Copy Text from Picture. Files stored in OneDrive get the same treatment: open the image there and choose the text extraction option.

Check what Acrobat Reader shows

The free Adobe Acrobat Reader displays recognized text only when the PDF already contains a text layer, which happens when the scanner or the sender ran recognition at scan time. Reader cannot add that layer, so a blank selection there means the file needs one of the routes above.

Scan quality decides the result. Recognition fails on skewed, dim, or low-resolution pages. If the output is garbled, rescan at 300 dpi, flat against the glass, under even light, and run it again.

Proofread the numbers. Zero and capital O, one and lowercase l, five and S get swapped constantly. Check every account number, date, and total against the page before using the text anywhere.
