A document the whole team uses is owned by someone who no longer works here, and nobody is sure what happens to it when that account is closed. A Google Doc belongs to exactly one account, and when the account is deleted, every file it owns is deleted with it. Who can fix this depends on whether the account is a Google Workspace account or a personal Gmail account.
Ask a Workspace admin to transfer the files
If the company uses Google Workspace, an admin can move every Drive file the departed user owns to another account. In the Admin console, open Users, open the user, and choose Transfer data; the same transfer is offered as a step when the admin deletes the account. Ownership of the original file changes, so the URL, sharing settings, comments, and version history all stay as they are.
Only an admin can do this. If you are not one, send the request before the account is deleted, because the transfer has to happen while the files still exist.
Make an owned copy if no admin can help
Anyone with edit access can create a copy they own. Open the document and choose File, Make a copy. Check Share it with the same people if the copy should keep the current access list, choose a folder, and click Make a copy. Copying comments is optional; version history is not copied.
Share the copy and tell people to use the new link.
Move team files to a shared drive
Files in a shared drive are owned by the drive, not by a person, so a departure changes nothing. In Drive, right-click the file, choose Move, and pick the shared drive. Moving a folder into a shared drive requires Manager access on that drive, and you need edit rights on the files being moved, so on a Workspace domain this step usually follows the admin transfer.
Copy anything from a personal Gmail account now
A personal Gmail account has no admin. The copy route is the only one, and if the original owner's account is deleted, the original file and its link disappear for everyone. Copy anything that matters while the account still exists.
If you rely on the original link. Make a copy creates a new URL, so bookmarks, wiki pages, and pinned chat messages that point at the old document keep pointing at it. Update them or the copy will be ignored.
If this keeps happening. Set up a shared drive for team documents now so no working file depends on one person's account.
